The Office Administrator will be responsible for ensuring the smooth day-to-day functioning of the workplace and serving as the primary on-site point of contact for office operations. The role will oversee facilities management, workplace services, vendor coordination, asset logistics, employee and visitor support, and office compliance activities. Given the organization’s hybrid work environment, this position plays a critical role in maintaining office readiness, supporting employees visiting the workplace, and ensuring seamless coordination with internal teams, Smartworks, vendors, and service providers.
1. Office Operations & Facility Management
Ensure physical presence in the office on all five working days to support office operations and facility-related requirements.
Oversee day-to-day management of office premises and ensure office readiness at all times.
Coordinate with smartworks housekeeping teams to maintain cleanliness and hygiene standards across the office floor.
Liaise with maintenance teams for repairs, damages, and facility-related issues.
Partner with Smartworks IT and maintenance teams to ensure all electrical fixtures, workstations, power points, and related infrastructure are functioning effectively.
Manage office stationery inventory and ensure adequate availability of supplies.
Troubleshoot office access-related issues (e.g., QR code entry) and coordinate resolution with Smartworks support teams.
2. Asset Management & Logistics Coordination
Safeguard office assets and ensure appropriate asset security measures are followed.
Coordinate with courier and logistics partners (DTDC and others) for shipment receipt and dispatch activities in partnership with the IT team.
Manage dispatch of new hire kits, company swag, festive gifts, and other employee shipments.
Coordinate return shipment of company assets from employees.
Confirm delivery status with employees for assets, welcome kits, gifts, and related shipments.
Support large-scale shipment activities during business events, festive seasons, or other organizational requirements.
Coordinate with housekeeping, security, and logistics personnel for movement of heavy assets within the premises.
3. Employee, Visitor & Workplace Support
Facilitate office access and onboarding support for new employees on their joining day.
Coordinate with Smartworks front desk and security teams to arrange access for employees, visitors, vendors, and international guests.
Manage parking allocation requests through Smartworks based on employee visitation requirements.
Provide general workplace support to employees visiting the office for meetings, asset collection, technical support, or other business needs.
4. Vendor & Smartworks Relationship Management
Act as the primary liaison with Smartworks for office-related operational requirements.
Coordinate booking and utilization of conference rooms, meeting rooms, and training rooms while ensuring optimal usage of allocated credits.
Manage requests for additional meeting or conference room requirements across Smartworks locations (e.g., Gurgaon, Delhi, etc.).
Work closely with courier vendors, facility partners, housekeeping providers, and other service providers to ensure smooth office operations.
5. Invoice Verification & Cost Management
Review and coordinate approvals for facility-related invoices, including additional air-conditioning usage, electricity consumption, housekeeping support, manpower, and other operational expenses.
Verify courier vendor invoices against shipment records and coordinate with Finance for timely processing and payment.
Maintain supporting records and documentation related to office operational expenses.
6. Safety, Compliance & Emergency Response
Serve as the designated Emergency Response Team (ERT) representative for FOX.
Attend safety and emergency preparedness sessions conducted by facility management teams.
Communicate safety protocols, emergency procedures, and relevant updates to employees.
Support compliance with workplace safety standards and office emergency response processes.
7. Annual Building Maintenance Support
Be available during scheduled annual building maintenance activities, including weekend support when required.
Coordinate with internal IT stakeholders to ensure safe shutdown and restart of network and server room equipment during maintenance activities.
Ensure critical office equipment and infrastructure are protected during maintenance work and normal operations are restored with minimal disruption.
Qualifications
Bachelor's degree in any discipline.
1–3 years of experience in office administration, facilities, workplace operations, or a similar role.
Good communication and coordination skills.
Basic knowledge of MS Office (Excel, Word, Outlook).
Strong organizational skills with attention to detail.
Ability to manage multiple tasks and work effectively with internal and external stakeholders.
Willingness to work from the office five days a week.
