FOX Corporation is looking for an Assistant to provide comprehensive support to the Standards & Practices (S&P) department, including the procurement, tracking and distribution of materials, data entry, monitoring of calendars and schedules, answering phones, dissemination of reports and maintenance of records and files, and keeping abreast of current events that might impact programming. The Assistant will coordinate between Standards & Practices, internal FOX departments and external entities to facilitate review/approval of programming, advertising, and promos. Also, the Assistant will serve as back-up to the Executive Assistant and the 12th Floor Coordinator, when needed. The Assistant must be able to perform their duties in both English and Spanish with minimal supervision and complete their work in a timely manner with accuracy and attention to detail.
This is a hybrid position, requiring a minimum of three days per week in an assigned workspace located in Los Angeles. Button duty requires working in the Technical Operations Center on the FOX lot in Los Angeles, including occasional evenings, weekends, and holidays.
A SNAPSHOT OF YOUR RESPONSIBILITIES
Answer phones and maintain accurate records of calls
Assist with travel and expenses
Assist with department presentations to include creating slides, gathering materials (e.g., video clips, graphics, and research information), trouble shooting, and interfacing with the IT department for equipment, resources, and support
Monitor and maintain department mailbox
Monitor electronic distribution methods to ensure receipt of all scripts and revisions by the department
Create, maintain, archive, and purge paper files as needed by the department
Maintain, archive, and purge electronic files
Maintain department calendar (including vacation calendar and out-of-office status) and updating with button shifts based on the monthly schedule
Maintain shared contact lists and production staff and crew lists
Maintain database of in-show integrations and sponsorships and distribute the weekly end credit schedule
Coordinate with internal and external departments to schedule internal and external meetings, table reads, drive-ons, parking and other production or corporate matters
Ancillary administrative needs including printing, copying, filing, making sure common areas are clean and well-kept, etc.
Compile distribution lists for new series and development projects and update lists for continuing series
Interface with the current, development, and sales departments as well as producers to ensure receipt of materials, distribution of reports, schedule meetings, etc.
Interface with New York Commercial Clearance department and Sales when needed to assist with commercial clearance and promo back-up
Attend department meetings, expanded Standards & Practices meetings, company-wide and industry meetings, and seminars
Conduct research as needed to include research into past programming, competitive programming, FCC and FTC regulations and actions, etc.
Order office supplies
Cover executive assistant’s desk as needed
Send large attachments (full episodes/clips to execs) when asked
Update Promo team on any changes to V-Chip ratings
Update Salesforce database with V-Chip ratings and input V-Chip tracking forms
Update S&P Salesforce database with commercial status – generated from emails, MediaVu notifications, etc., including secondary product identifications when needed
Collect V-Chip ratings from the department, maintain and update V-chip ratings database, distribute weekly ratings advisory schedules to Publicity, Sales, On Air, Operations, and other entities
Prepare Content Issues Report weekly and General Programming Check reports weekly, when critical events occur, and as requested
Compile and distribute Programming Complaint and Advertising Complaint reports.
Compile and distribute the Product Integration report
Operate the Broadcast Interrupt Button during the coverage of live entertainment programming, live specials, and sports programming
Back up to Executive Assistant and 12th Floor Coordinator when needed
General office duties to ensure a smooth and efficient workflow
May be assigned additional related projects and assignments as needed, including occasional review of pre-produced programming, final versions, advertising and promotions, as well as the creation of v-chips tracking forms
WHAT YOU WILL NEED
High school diploma or equivalent
Prior administrative experience
Good oral and written skills
Knowledge of Microsoft Office applications; Word, Excel, Outlook; databases; web browsers, streaming video platforms
Working knowledge of Salesforce, MediaVu, MediQurator, and other commercial clearance and On Air Promo databases and distribution software
Ability to communicate effectively within and outside the department
Ability to prioritize and pay close attention to detail
Able to work well under pressure and meet deadlines
Superior organizational skills

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $23.50-27.25 per hour. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
