JOB DESCRIPTION

From film screenings to press events, and catered meetings to red carpet events, the FOX Studios Food Services team plays an integral role in creating excellent customer service experiences for all our employees and guests on the iconic FOX Studio Lot. We are currently looking for an experienced Associate Director of Catering & Special Events to join our team. A SNAPSHOT OF YOUR RESPONSIBILITIES

  • Develop internal and third-party relationships in order to increase catering and special events client base through handling of inquiries, trace calls, and follow-up of leads
  • Consistently stay informed of special events and emerging trends happening within the industry (such as researching local hotel reader boards) in order to identify new business opportunities
  • Oversee day-to-day management of the catering and special events for on-lot and off-lot guests
  • Interface with all necessary parties to ensure all details outlined on event prospectus & catering sheets are properly addressed and followed through
  • Responsible for on-lot clients to include Fox Sports, Cast & Crew Meals (Production, Features), Table Reads, and any daily inquiries for caterings and outlet distribution as received
  • Conduct routine catering audits and delivery inspections to insure accuracy and timeliness
  • Inform client of all event financial requirements and negotiate on prospectus for caterings and special events
  • Responsible for entire strategic layout for all caterings and special events
  • Attend special events to ensure event prospectus is properly followed prior to transition to operations/service staff
  • Develop a group resume when necessary, to ensure that event arrangements are communicated with all departments impacted by group, during planning process and actual event. (The group resume is distributed to all departments in advance of group Tie Down Meeting; it will be revised to ensure that all departments are kept abreast of any changes that might occur, and will include a list of telephone extensions, e-mail addresses, and fax numbers for all Fox contacts and Group contacts.)
  • Conduct Tie Down Meetings, when appropriate, to review group resume developed for Special Events
  • Development of Guest Feedback Summary Card, including maintenance of spreadsheet detailing client comments and ratings
  • Maintain a tracking/monitoring system for all events, to ensure proper documentation is maintained for all contacts/events 
  • Attend all FOX Food Service staff meetings as scheduled
  • Lead weekly prospectus meeting to review upcoming caterings/special events when the Executive Director of Catering & Special Events is absent
  • Coordinate with the Executive Director, Marketing Production Services regarding development of Special Events Marketing Plan
  • Attend networking and industry events as needed in order to develop third-party business and promote FOX Catering & Special Events
  • Maintain accurate record of Lost Business Reports to ensure detailed information is available regarding actual revenue variances and plan/budget revenue
  • Supervise event managers and staff in coordination of event setup, execution, and oversight of catering deliveries

WHAT YOU WILL NEED

  • At least 5+ years prior experience in event and catering management, with specific experience in Food & Beverage and/or Hotel and Event Management preferred
  • College degree preferred or High School Diploma or equivalent
  • Must have strong written and verbal communication skills, as well as excellent interpersonal skills and the ability to work effectively across all levels and personalities
  • Knowledge of Caterease software preferred
  • Must have the ability to work extended hours and weekends 
  • Must have proficiency in Microsoft Office & Budget Programming as provided by Studio Finance
