JOB DESCRIPTION

FOX Security provides security services throughout our Studio Lot and off-site FOX locations. We are a service-oriented group, where FOX employees know our names, and we know theirs. As the Coordinator of Security, you will interface with our employees, guests, and clients. So if projects keep you going, we’ll keep you busy with department initiatives and discovering new ways to make our systems and processes more efficient. If you don’t have any prior security experience, don’t worry; we’ll get you up to speed! If the words “coordination and ambassador” describe you, we’d like to hear from you! 

A SNAPSHOT OF YOUR RESPONSIBILITIES

  • Draft and author documents and emails that will be read by all levels of the company
  • Deliver engaging customer service by welcoming customers and visitors
  • Maintain and track all security initiatives including but not limited to: security, business operations, security training, crisis management, special events, and security systems
  • Follow and improve office workflow procedures to ensure maximum efficiency
  • Maintain files and records with effective filing and retention systems
  • Monitor office expenditures and handle all office contracts (e.g., rent and service agreements)
  • Perform simple bookkeeping activities; such as facilitating payroll and expense reimbursements 
  • Monitor office supplies inventory and place orders
  • Assist in vendor relationship management
  • Actively work with the Studio ID office with a variety of tasks:
    • Issue and print FOX ID badges
    • Providing passport photos
    • Administer badge access
    • Actively monitor the Studio ID and Visitor Pass email accounts
    • Answer the Studio ID and Visitor Pass phone lines
    • Support various initiatives as necessary including access control related projects, process documentation, and general data entry
  • Support other teams with various administrative tasks and functions, including
    • Correspondence
    • Studio tours
    • Special event support
    • Redirecting calls
    • Scheduling meetings 
    • Data entry
    • Equipment inventory
    • Other duties as needed

WHAT YOU WILL NEED

  • Bachelor’s degree or equivalent experience
  • At least two years’ previous administrative experience 
  • Advanced writing and communication skills and excellent diplomacy skills
  • Strong attention to detail with the ability to multi-task in a fast-paced environment with constantly changing priorities
  • Proficiency in Microsoft Office Suite and Adobe Acrobat
  • Quick to learn and administer security software systems
  • Highly competent in data entry
